Understand user roles and permissions in Tomorro

What roles are available in Tomorro and what actions can each user perform depending on their permissions?

In Tomorro, every user has a role that determines the actions they can perform on the platform.

Roles allow permissions to be adapted to the responsibilities of each team member.

Only administrators can define or modify roles.


Different user roles

Administrator

The Administrator has full access to the platform and can configure the organization.

They can notably:

  • manage members and their roles

  • configure organization settings

  • create and edit contract types

  • manage approval workflows and dynamic components

  • organize the repository (folders and access)

  • access all contracts in the organization (unless restricted by folder permissions)

This role is generally assigned to:

  • legal teams

  • legal operations managers

  • IT administrators


Creator – Manager

The Creator – Manager can manage contracts and supervise their lifecycle, without being able to modify global organization settings.

They can notably:

  • create contracts

  • edit and negotiate contracts

  • send contracts for approval

  • send contracts for signature

  • organize contracts in folders

  • supervise contracts they have access to

However, they cannot:

  • manage members

  • modify organization settings

  • configure contract types

This role is often assigned to:

  • team managers

  • sales managers

  • procurement managers


Creator – Contributor

The Creator – Contributor actively participates in the creation and negotiation of the contracts they are involved in.

They can:

  • create contracts

  • edit contract content

  • negotiate contracts

  • send contracts for signature

  • collaborate through comments and suggestions

Their permissions are generally limited to the contracts they participate in or the folders they can access.

This role is often assigned to:

  • sales teams

  • procurement teams

  • operational teams


Viewer

The Viewer role provides read-only access to contracts.

This role is typically assigned to users who need to consult or sign contracts without participating in their management or negotiation.

There are two types of viewers:

Can consult signed contracts where they are a participant or located in a folder they have access to

- Read contracts
- View history and activities
- Use certain AI features

Viewer – Signatory

Access only to contracts sent for signature where they are designated as a signer

- View the contract sent for signature
- Sign the contract

  • A Viewer cannot modify, negotiate, or send a contract.

  • A Viewer – Signer can only access contracts they must sign.

  • Viewers can use certain AI features only on signed contracts.

⚠️ Some actions require both a specific role and access to the contract.

A user can access a contract if they:

  • are a participant in the contract

  • have access to the folder containing the contract

  • belong to a group with access to the folder
