Only organization administrators can create, modify, and manage folders and their access rights in the Tomorro repository.
Structuring folders in the repository
The contract repository allows you to organize your contracts using folders and subfolders, helping you structure your contracts and control their visibility.
Create a folder
Open the repository from the main menu
Click New folder in the top-right corner
Select the parent folder
By default, Contract repository is the public root
Name the folder
Click Create this folder
The folder creator becomes its owner and has full access to all contracts stored inside.
Create a subfolder
The process is the same as creating a folder.
Open the parent folder
Click on "Create a Folder" at the top right.
Enter the subfolder name and select its parent folder.
Click "Create Folder" to finalize.
Subfolders automatically inherit access rights from their parent folder.
Editing, moving, or deleting folders
Editing a folder
Open the relevant folder
Click … in the top-right corner
Select Edit folder
Update the name or change the parent folder
Deleting a folder
Enter the relevant folder.
Click on "..." at the top right of the folder.
Select "Delete Folder".
Type
deleteto confirm.
Click "Delete Folder".
Contracts remain accessible in the repository but are no longer assigned to a specific folder.
Managing folders in bulk
From the contract repository, select one or more folders
Check the box at the top of the folder list to select all folders at once.
Choose an action:
Move (select the new location and click Save here).
Delete (type delete to confirm the deletion).
Managing folder access
Folder access management allows you to precisely control contract visibility and interaction rights.
Adding members or groups to a folder
Open the relevant folder
Click Share in the top-right corner
Add:
groups
or individual members
All added members will have read-only access to the folder and all its subfolders.
Understanding contract access rules
Actual access to a contract depends on:
folder access AND
the user’s role on the contract
Folder access + not a participant
→ Read-only access to the contract
Folder access + contract participant
→ Ability to interact with the contract
No folder access + contract participant
→ Ability to interact with the contract
→ The contract appears directly at the root of the user’s contract repository
Viewer role specifics
Viewer
→ Can only view signed contracts from the folder they were added to
Viewer – Signatory
→ Can view:signed contracts from the folder they were added to
contracts in signature where they have been added as a signer
Removing access to a folder
Open the relevant folder
Click Share
Hover over the member or group
Click the cross icon to remove access
A removed member:
no longer has access to the folder and its subfolders
retains access to contracts where they are a participant
