User roles and permissions in Tomorro

What roles are available in Tomorro, who can use Oro, Tomorro's AI, and what actions can each user perform based on their permissions?

In Tomorro, each user is assigned a role that determines the actions they can perform on the platform. The tables in this article also specify who can use the Oro agent, the AI built into Tomorro, and the other AI features.

Roles allow you to tailor permissions to each member's responsibilities.

Three notions not to be confused.

The licence is what your organization pays for. There are three: Administrator, Creator and Viewer.

The role is what you assign to a person, and every role belongs to a licence. The Administrator licence carries the Administrator role. The Creator licence carries the Manager and Contributor roles, which appear as Creator - Manager and Creator - Contributor in your organization settings. The Viewer licence carries the Viewer and Viewer – Signatory roles.

The permission is the detail, action by action. With standard roles it is fixed: those are the tables in this article. With the Custom roles option, you compose it yourself.

Only administrators can define or change roles.

This article describes Tomorro's standard roles. If the Create role button is active in the Roles tab of your organization settings, you have the Custom roles option, which lets you compose your own roles:

Different user roles

Administrator

The Administrator has full access to the platform and can configure the organization.

Key capabilities:

  • manage members and their roles

  • configure organization settings

  • create and edit contract types

  • manage approvals and dynamic components

  • organize the repository (folders and access)

  • access all contracts in the organization (unless restricted by folder permissions)

This role is typically assigned to:

  • legal teams

  • legal operations managers

  • IT administrators

Creator – Manager

The Creator – Manager can manage contracts and oversee their lifecycle, without being able to modify the organization's global settings.

Key capabilities:

  • create contracts

  • edit and negotiate contracts

  • send contracts for approval

  • approve contracts if assigned as an approver

  • send contracts for signature

  • organize contracts in folders

  • oversee contracts they have access to

However, they cannot:

  • manage members

  • modify organization settings

  • configure contract types

This role is often assigned to:

  • team leads

  • sales managers

  • procurement managers

Creator – Contributor

The Creator – Contributor actively participates in the creation and negotiation of contracts they are involved in.

Key capabilities:

  • create contracts

  • edit contract content

  • negotiate contracts

  • send contracts for signature

  • collaborate via comments and suggestions

Their permissions are generally limited to contracts they participate in or folders they have access to.

This role is often assigned to:

  • sales teams

  • procurement teams

  • operations teams

Viewer

The Viewer role gives read-only access to contracts.

This role is typically assigned to users who need to view or sign contracts without participating in their management or negotiation.

There are two types of viewers:

Viewer type

Contract access

Possible actions

Viewer

Can view signed contracts they participate in or that are located in a folder they have access to

- Read contracts
- View history and activities
- Use certain AI features

Viewer – Signatory

Access to signed contracts they have access to (participant or folder) and to contracts sent for signature where they are designated as a signatory

- View the contract sent for signature
- Sign the contract

  • Viewers cannot edit, negotiate, or send a contract.

  • The Viewer – Signatory can only access contracts they need to sign.

  • The Viewer – Signatory role is not included by default: it is enabled on request from your account manager.

  • Viewers can use certain AI features only on signed contracts.

Permissions

Symbol

Meaning

✅

Action allowed

❌

Action not allowed

*

Allowed only if the user is a contract participant (for an Admin: participant, access to the contract's folder, or contract stored in no folder)

**

Allowed only if the user has folder access

***

Allowed only if the user is set as the contract's Supervisor or Internal contact, depending on the options enabled for your organisation. Only an administrator or a manager can be set as Supervisor

⚠️ Some actions require both a specific role and access to the contract.

A user can access a contract if they:

  • are a contract participant

  • have access to the folder containing the contract

  • belong to a group with folder access

✅ Best practices

  • A contract participant acts according to their role: a Manager or a Contributor can edit, negotiate and send the contract, a Viewer has read-only access.

  • Access through the folder, directly or via a group, only grants read-only access, including to a Manager or a Contributor. Only the Admin keeps all their rights there.

  • With read-only access, you can read the contract, its documents and its attached files, but you cannot add or delete an attached file, create a task, send the contract or sign it.

  • Add anyone who needs to work on the contract as a participant, from the contract's Participants tab. Folder access is enough to view it (recommendation).
