There are two versions of the Members screen. If a Licenses section and a search bar appear at the top of the Members page, your organization has the Custom roles option: follow "Manage the members of my organization (Custom roles option)" instead.
Only Administrators can manage organization members: invite them, change their role or remove them from the Tomorro account.
The number of members you can invite depends on the licenses included in your plan. Beyond that, adding an extra license is confirmed before you validate. For more details, see our pricing tab.
Access member management
Click on your company name at the top left of the main menu
Open Workspace Settings
Go to the Members tab
You will see the list of all organization members along with their current role.
Invite a new member
As an Admin, you can easily invite new members to join your team through your company settings.
Click on Add New members
Fill in the email address of the person you wish to invite
Define his/her role: Admin, Creator - Manager, Creator - Contributor or Viewer.
Click on \"Send invitation\" and the invited person will receive an email inviting them to create their account and to set a password.
Invite without sending an email
You can now choose not to notify the new member by email by unchecking the "Send an invitation by email" box.
This option is particularly useful if you want to configure your platform before your users log in for the first time.
In this case, the address will appear greyed out, and a message indicating that the account has not yet been activated will be displayed.
Resend an invitation
Account activation links are valid for 30 days.
People to whom you have already sent an invitation but have not yet activated their account are marked with a \"Pending\" tag.
Select the person you have already invited and click on them.
Click on \"Resend Invitation.\"
Invite multiple members
If you want to save time and invite several members at once :
Insert several email addresses separated by semicolons.
Choose the role of these members, as well as the groups you want to add them to.
If you need additional Admin or Manager licences to the ones included in your plan, please reach out to your dedicated account manager.
Change a member's role
Changing a role allows you to adjust a user's permissions without removing them from the account.
From the Members tab, select the relevant member
Click on their current role
Choose the new role to assign
Save the change
The role update is applied immediately across the entire platform.
Downgrade a member to a more limited role
If the new role removes the member's right to approve or their ability to sign, the Downgrade this member window opens: you must designate a substitute in the Substitute by a member field.
The substitute recovers what was attached to the member:
access to their contracts, through the folders they had access to
ownership of the folders and contract types that were theirs
their approval roles, unless they remain an Admin or a Manager
the signatures assigned to them, on contracts as well as on templates, as soon as they lose the ability to sign
The window summarises these transfers according to the previous and the new role.
Not every role change requires a substitute. Moving from Admin to Manager does not: the Manager keeps the right to approve and to sign.
The substitute is mandatory: without one, the downgrade is not saved.
Correct a member's first or last name
An Admin cannot change a member's first or last name. For a member already in the organization, the Members tab only allows changing their Role and their Groups.
The correction is made by the member themselves, from their own account:
At the bottom left of the main menu, click My account
Choose Account settings
In Account, correct the First name and Last name fields
Click Save my information
A member's email address cannot be changed in Tomorro, neither by the member nor by an Admin: the field is greyed out in Account, and the Members tab only allows entering an address when inviting a new person. To correct an address, contact us from the chat: we make the change for you.
Delete a member
Removing a member results in their permanent removal from the organization.
From the Members tab, select the relevant member
Click Delete member
Choose a substitute member
Before confirming the removal, you must mandatory designate a substitute member.
This substitute ensures continuity for the data and contracts managed by the removed member.
The substitute must have a role at least equivalent to that of the removed member
Example:
If you remove a Manager, you must replace them with a Manager or an Administrator (a User is not sufficient).
Confirm the removal
In Substitute by a member, select the substitute
Click Delete this member
⚠️ Any removal is final.

Action history remains available in contract activities
Past actions of the removed member are preserved for audit and traceability purposes
