Filling in contract fields via the form

How to fill in smart fields using the form?

Smart fields are defined by your administrators in the contract type. They allow you to structure and automate the entry of information.


Understand the form fields

The form is divided into two sections:

  • Your organization's fields (blue)

→ visible and editable by your organization only

  • Counterparty fields (yellow)

→ visible and fillable by the counterparty (or by you).
The counterparty can only see and fill in the fields assigned to them.

The field colour therefore indicates who needs to complete it.


Access the form

  • Click on the Form tab

  • Identify the fields to complete using the red dot


Complete the fields

  • Enter information directly in the form

  • Check that each value is automatically inserted into the contract

The form is dynamic: certain fields appear or disappear depending on the answers entered.

Some fields may be automatically pre-filled:

  • From the counterparty record linked to the contract

  • From the default values defined in the contract type

  • By automatic calculation (e.g. end date recalculated from the start date and duration)

Unable to edit

Several reasons may explain why a form field is not editable:

  • The field is assigned to the counterparty: yellow fields can only be edited by the counterparty. A message is displayed: "Your counterparty can edit this field".

  • You are not a participant on the contract: only participants (admin, supervisor, referent, member) can edit form fields.

  • The signing process is in progress: once the contract has been sent for signature, fields linked to the document are locked.

  • The contract is signed: fields are locked after signature.

  • The field is automatically calculated: some fields such as the next renewal date are calculated by Tomorro and cannot be edited manually.

If you still cannot edit a field, check your role on the contract and the status of the contract.


Send an incomplete contract

  • Send the contract even if some fields are not filled in

  • Let the counterparty complete their own fields


Start the signing process

Tomorro Signature

All fields assigned to you must be filled in before starting the signing process.

If only the counterparty's fields are empty, you can still initiate the signature. The counterparty will need to complete them before signing.

DocuSign Signature

All fields must be completed before starting the signing process.

If any fields assigned to the counterparty are still empty, you will need to send or resend the contract so they can fill them in before activating the signature.
