Define a smart field
A smart field is a variable inserted into a template or used in a contract.
It allows you to:
Structure contract information
Populate the summary sheet
Trigger automations

Create a smart field
Smart fields complement the native fields already provided by Tomorro.
Access a creation point
A smart field can be created from:
The Dynamic components
The editor of a template or a contract
The automations of a contract type
The summary sheet of a contract type or a contract
Create a new smart field
Click "+ New smart field"
A side panel opens with the information to fill in.
Configure the settings
Field name: this name will be visible when filling in, both in the summary sheet and in the document template.
Field type: select from the available types (text, number, date, selectors, etc.).
⚠️ The type can no longer be changed after creation if the field is already used in a contract or in a condition.
Linked data: choose where the field information will be stored.
Linked to the contract: the value will be stored only in the relevant contract.
Linked to the counterparty: the value will be stored on the counterparty profile and reusable across all their contracts.
Help text (optional): you can add an explanatory message that will be displayed when filling in the field, to guide the user.
AI instructions: you can add an explanatory message to guide the AI and improve its relevance.
💡 Use case: prevent the AI from identifying your own entities as the counterparty. On the native Counterparty name field, add AI instructions listing the names that should never be picked as the counterparty (parent company, subsidiaries, brands, legal variants). For example: "The counterparty cannot be called Tomorro, Leeway, Leeway SAS, which are aliases of my company." Oro will treat these names as entities internal to your group.

Edit an existing smart field
Open the relevant field
Update the information in the side panel
Click save
For selector fields (single or multiple choice), editing options has been simplified:
your search is kept while editing the options
an administrator can bulk remove unused options via the Remove unused options action: an option is considered unused if it is not used in any contract, contract type, or condition
Before saving, a summary is displayed: unused options will be permanently removed when you save, while options used in a contract, a contract type, or a condition will be kept.
The type of a field can no longer be changed once the field is created unless the field is not used in a contract.
If needed, you can always delete the field and recreate a new one.

Add a language to a selector field
If the field is a single-choice selector or a multiple-choice selector, the options must be translated manually.
Translating the field name does not automatically translate the options.
Save the field
Duplicate the field
Click Actions, then Duplicate field.
Delete a field
Click Actions, then Delete field.
If the field is used in one or more contract types, it will be permanently deleted from all contract types and all existing contracts.
A written confirmation will be required before deletion.
If the field is used in a condition (dynamic rule), it cannot be deleted: it must first be removed from the relevant conditions.
Merge duplicate smart fields
As an administrator or manager, you can merge two duplicate smart fields into one, from the Smart fields screen (in Dynamic components).
To merge two fields:
Select exactly two fields (at least one must be a smart field)
Confirm via Merge smart fields
Before applying the merge, a preview shows the number of impacted items in:
the contracts
the contract types
the conditions
the counterparties
To be merged, the two fields must:
be of the same type (merging is available for text and date types)
have the same assignment: both linked to the contract, or both linked to the counterparty
The merge updates the contract types, the existing contracts and the conditions involved, as well as the counterparties for counterparty-linked fields.
The merge is irreversible: once the merge is done, the source field is permanently deleted. It cannot be completed if:
the two fields are actually the same field
the fields have different types or assignments
the type is neither text nor date
neither of the two is a mergeable smart field
a value conflict exists between the two fields on existing records
