Management of renewals in Tomorro

How does renewal work?

Updated this week

The project summary sheet allows you to track all essential information, including renewals and notice periods, effortlessly.

How it works

In Tomorro, renewals are based on four custom fields:

  • Initial End Date

  • Type of Renewal

  • Duration of Renewal

  • Next Renewal Date

Initial End Date

This field corresponds to the first expiration date of the contract.

Example: A contract signed from January 1st to December 31st with a tacit renewal of 3 months will have an initial end date of December 31st.

Type of Renewal

Two options are available:

  • None: The contract ends on the scheduled date.

  • Tacit: The contract is automatically renewed at each expiration unless terminated.

Duration of Renewal

If a tacit renewal is specified, this field determines the duration of the renewal.

Once the contract reaches its initial end date, it will automatically renew for a duration equal to the value in this field.

Example: A contract ending on December 31st with a 3-month renewal will be renewed until March 31st, then June 30th, and so on.

Next Renewal Date

This field is automatically calculated based on the current date and the contract details. You cannot manually alter its value.

Example: If today is before December 31st, the next renewal date will be December 31st. Once this date passes, it will automatically change to March 31st, and so on.

Use the renewal fields

The renewal fields help manage contract follow-up through conditions and smart reminders.

Use in Conditions

The "Type of Renewal" and "Duration of Renewal" fields allow you to:

  • Dynamically display contract clauses.

  • Automatically organize contracts in your contract library.

  • Add validation steps before signing.

  • Generate a summary of renewals only for contracts with tacit renewals.

Use in Reminders

Reminders notify you before each renewal date.

Example: A contract expiring on December 31st with a 3-month renewal could have a reminder set:

  • November 30th (1 month before the initial end date)

  • February 28th (1 month before the next renewal)

  • And so on.

Reminders and Renewals

Tomorro integrates an automatic reminder by default for all projects, whether created or imported.

How Reminders Work

  • By default : a reminder is sent one month before the contract ends or renews.

  • With notice periods: If the contract includes a notice period, the reminder is adjusted to be sent one month before the start of the notice period.

Example with a 14-day notice period:

  • If the renewal is on December 31st, the notice period starts on December 17th.

  • The reminder will be sent on November 16th (1 month before the notice period begins).
