Manage the members of my organization (Custom roles option)

Invite a member, filter the list, transfer roles in bulk, configure notifications, delete a member.

There are two versions of the Members screen. If no Licenses section and no search bar appear at the top of the Members page, you are using the previous version: follow "Manage the members of my organization" instead.

The Members tab in your organization settings brings together account management: viewing the list, filtering, transferring roles, configuring a member's notifications, or deleting them.

The Members tab is accessible to members with the Members permission, by default Admins and Super admins.


Understand the Members page

At the top of the page, license cards summarize your organization's breakdown by license type, with the number included in your plan.

The table lists all members, with for each one:

  • Name and Email

  • License type: the billed license (Admin, Creator or Viewer)

  • Role: the assigned role, standard or custom

  • Groups: the groups the member belongs to

  • 2FA and Status (Active, Pending or Disabled)


Invite a member

From the Members tab, click Add new members at the top right.

  • Enter the email address of the person to invite, or several addresses separated by semicolons

  • Define their role: your organization's standard roles and your custom roles appear in the list

  • Add them to one or more groups if needed

  • Click Send invitation

The person receives an email inviting them to create their account. The activation link is valid for 30 days.

To set up the platform before your users arrive, uncheck Send invitation email: the account is created without any notification, and the invitation can be sent later.

Until a person activates their account, their status stays Pending. From the row actions menu, click Resend invitation to send it again.


Filter and search for members

The search field filters by name or email. The Filters button lets you narrow the list by:

  • License type

  • Role

  • Status (Active, Pending, Disabled)

  • Absence status (Absent, Planned absence)


Transfer the role of one or more members

To change one member's role: open their profile and select their new role.

To change the role of several members at once:

  1. Select the relevant members in the table

  2. Click Transfer role

  3. Choose the target role


If the new role removes a member's approval or signature rights, a substitute is requested: this member will replace the transferred members as workflow approver and contract signatory.

Only a Super admin can change an Admin's role, including in bulk. You also cannot change your own role from a bulk action.


Configure a member's notifications

A member's profile has a Notifications tab, separate from the Settings tab, which lists the email notifications this member receives.

An Admin or a Super admin can configure another member's notifications, for example to adjust what a company executive receives.

Notifications are grouped by category: contract activities (mention, comment, message from a counterparty, signed document, added as a participant), deadline reminders and task planning, as well as approval workflows (approval pending, document approved or rejected) and mentions in comments.


Delete a member

From the member's profile, click Delete member. Deleting a member is final and results in the deletion of their data.

A substitute must be designated: they take over what the deleted member leaves behind, depending on their role. For example, for an Admin, the substitute takes over ownership of folders and contract types, approval roles, and access to contracts.

Frequently asked questions

Is a substitute always required for a deletion or role transfer?

It is requested as soon as the member concerned loses their approval or signature rights. For a role without these rights, such as Viewer, no substitute is necessary.

Who can be chosen as a substitute?

The members offered depend on the role of the member being replaced: for example, only Admins or Super admins can replace an Admin, while replacing a Viewer accepts all roles.

Can I see another member's absence notifications from their profile?

No, this section only appears in the member's own personal notifications, not from the admin view.
