Set up approval workflows in my template

How can you structure your approval processes to gain better control over your company's projects?

Approval procedures, either before a project is first sent to the counterparty or before final signing, can only be configured by administrators within each template, allowing for management tailored to specific situations.

Select an approval type

  • Access the relevant template: In the main menu on the left, go to the "Templates" tab.

    • Select the template for which you want to add an approval process.

  • Choose the approval type:
    At the top of the template page, locate the “Workflows” section and choose the type of approval:

    • Approval before sending to the counterparty

    • Approval before sending the project for signature

Create an approval workflow

Configure the approval workflow

To the right of the approval type, find the “Add a workflow” button and choose the base for the workflow:

  • Create the workflow from scratch

  • Create it from an existing workflow

If you select approval before sending, you can specify whether approval is required only for the first send to the counterparty, or for every send.

Add approvers

Only users with an administrator or manager licenses can be designated as approvers.

You can select a specific team member or the project owner.

Define the approval order

  • All must approve: all approvers must give their consent, in no particular order

  • One after the other: approvers intervene in a specified sequence

  • First to approve: approval is validated as soon as one of the selected approvers gives their consent, speeding up the process

Set approval conditions

You can define conditions so that an approver or an approval block is required only if certain criteria are met.

  • To set a condition for a block or approver, click the “...” next to it:

    • Click on the “...”

    • Then click “Make conditional”

    • Choose an existing condition or create a new one

      Example: Approval from the CFO is required only if the contract amount exceeds €Y, or if the contract duration is longer than Y months.

Create an advanced approval workflow

Feature available only on Scale and Enterprise plans.

This feature enhances our solution and makes the platform more flexible by allowing users to configure complex approval workflows, adapted to advanced approval matrices and specific use cases.

Add multiple blocks to your workflow

Each block has its own approvers and approval sequence.

Set the order of approval blocks

Blocks can be triggered in a defined sequence (checkbox selected) or simultaneously (checkbox unselected).

Modify or delete an approval workflow

  • To delete an approver or an entire workflow: Click the “...” next to the approver or block name and select “Delete.”

Any changes or deletions made to a template will apply to all projects, except those already in the middle of the approval process.
