Import your contract history with Smart Import

Switching tools, or bringing over a history of signed contracts? Smart Import lets you import them in bulk: you drop in your files, Oro analyses them, then you publish structured contracts into your repository.

Smart Import is reserved for administrators who have the right to import contracts. Imported contracts are only visible to administrators, until they are published to the repository.

For each document, Oro extracts the text, identifies the contract type and picks up the key information: dates, counterparty, smart fields.

Smart Import is in Beta, open to every account until the end of September. No activation is needed: the Smart Import entry is available directly in your Settings.


Before you start

  • Smart Import is available from Settings, then Smart Import.

  • Only PDF files are analysed. Other formats (Word, Excel, presentations, images, emails) are imported as attachments.

  • Amendments are detected from file names: explicit names (e.g. "Amendment 1 - Service agreement.pdf") improve sorting.

To set them up: Create or edit the content of a contract type and Create a smart field.


Start a Smart Import

  • Go to Settings, then Smart Import

  • Drag and drop a whole folder (including sub-folders) or select your files

  • You can also import from SharePoint or Google Drive: you simply connect your account on the first import


The analysis starts automatically.


Follow the analysis

Each document goes through three steps:

  1. Extracting text

  2. Identifying contract type

  3. Extracting smart fields

Progress and the number of alerts are shown in real time in the header. The counter covers the files analysed: amendments, attachments and duplicates are then linked to a contract, so the number of contracts created can be lower than the number of files imported.

You can leave the page: your imports stay available from Last imports.

A failed document does not block the others: the analysis continues and the documents concerned are flagged.


Check before publishing

Once the import is running, you land on the review of your documents: this is the control step before publishing. You can come back to it at any time from Last imports.

The Review import panel guides you step by step: check the contracts and the extracted information, link amendments and attached files, then handle the duplicates that were flagged.

Nothing appears in your repository until you publish: you can correct as many times as you need.

Publish to the repository

  • Once your checks are done, click Publish to repository from the review screen, then confirm

  • Your contracts are created with the extracted information. The name, the location and the reminders defined on the type are applied automatically as soon as the required information has been extracted.

  • A summary is shown at the end (files published, alerts)

  • Then click a published document to open its contract in the repository

Contracts are created with the Signed status, with their amendments and attachments linked. Contract types created during the import are published automatically.

Publishing is final: you can no longer delete the import, nor delete or move its documents. Check your data before publishing.
