Store a signed document

How to import and store a signed document in Tomorro?

Tomorro lets you easily import your signed documents to create a contract, complete the key information, and store the contract in the repository.

1️⃣ Add your signed document

Signed documents must be in PDF format.

You can add them in three ways:

Via Tomorro homepage

  • Click + New contract and select Store a signed document.

  • Choose whether the signed document:

    • creates a new contract, or

    • updates an existing contract automatically created by email or from the repository

  • Add or drag and drop your signed PDF.

The contract is created with the status Signed contract to complete.

From the repository

Drag and drop your signed documents directly into the repository.
Tomorro will automatically create a signed contract to complete.

By email

You can forward an email containing a signed PDF to the dedicated import address of your workspace.

At the bottom of the Store a signed document modal, the Transfer documents by email section displays your address. Click Copy to retrieve it.

Each imported email:

  • automatically creates one signed contract to complete from the first PDF

  • other attachments are added to the same contract

  • the contract appears in the Incomplete contracts view

Required conditions

  • The email must contain at least one PDF file as an attachment

  • The sender must be an authorized member of the workspace

Do not confuse with a contract's email address

The import address (@import.tomorro.com) is used to import new contracts.

A contract's email address (@reply.tomorro.com) is used to track communications from the Communications tab.

For bulk import by email, see the article Import contracts in bulk.

All newly imported contracts are automatically created with the default status "Signed contract to complete".

2️⃣ Complete the contract information

❇️ If your organisation uses Oro AI, Oro automatically analyses and extracts the document's content to pre-fill:

  • the contract type

  • the mandatory fields

  • the Smart fields

  • the counterparty name

You can review and correct the data before validating.

Contract type

The selected contract type may require additional fields.
Selecting a contract type is mandatory.

Integrated form and mandatory fields

From the summary sheet:

  • Review the extracted data (the magnifying glass icon indicates the source of each piece of data)

  • Complete the mandatory fields

  • Validate

Once the data is validated, the contract moves to the Signed status.

3️⃣ Archive your signed contract

Depending on your organisation's configuration, archiving may be:

Archiving in a specific folder

If the document is imported into a specific folder, the contract will automatically appear there.

Dynamic archiving

If the contract type includes an archiving rule, Tomorro automatically stores the contract.

If the contract type includes an automatic name rule, Tomorro will automatically update the contract name accordingly.

Manual archiving

If no archiving rule exists, you can manually move the contract to the desired folder.

4️⃣ Add additional items

You can enrich your signed contract by adding:

  • attached files

  • participants

  • reminders

You can then move on to the next contract or return to the repository.

5️⃣ Track your contracts

Once your document is imported, Tomorro makes it easy to track contracts that still require action.

Each contract displays a Complete or Incomplete status, automatically recalculated based on the fields filled in.

Incomplete contracts

The Incomplete contracts view groups all contracts with the Incomplete status, whether they are signed or still being drafted.

A contract is marked Incomplete if any of the following is missing:

  • no contract type has been selected

  • no counterparty is set

  • mandatory fields from the contract type are missing

  • mandatory fields from the archiving form are missing

  • a data point extracted by Oro AI is awaiting validation

A red dot appears in the Summary tab and in related actions to indicate that a contract needs to be completed. On each affected contract, a counter shows the number of missing fields.

You can filter contracts by counterparty, creator, status, or date to better organise your work.

The status is recalculated automatically when the associated contract type is modified (adding or removing a required field, changing default values, dynamic naming, file requirements, or member/group conditions).

Right after a contract is created, the counterparty may be temporarily missing: the status will switch to Complete as soon as it is filled in.

Contracts without location

A contract will be placed in the Contracts without location folder if:

  • no archiving rule is defined

  • no contract type has been selected

  • it has been drag-and-dropped at the root of the repository

These contracts are only visible to:

  • participants

  • administrators

The folder updates automatically as soon as an archiving rule is applied.
